Who we are

SILHOUETTE Fragrance House ("SILHOUETTE", "we"), a small fragrance house trading as SILHOUETTE, Hlathi Drive, Strand, Western Cape, South Africa. We are responsible for your personal information. Our owner acts as our Information Officer and can be reached at silhouette.sa80@gmail.com.

What we collect

Waitlist: your name, email address, city or town, and phone number if you give it, together with your consent and the date you gave it.

Tester packs: if we choose you, the delivery details you send us and the feedback you give on the scents.

Discovery sets: when you request a free set in a public release, your name, email address, phone number and delivery address, with your consent and the date. Requesting also adds you to the waitlist. If we send a set to you as a creator, we also keep your social media handle and a link to anything you post about it.

Access codes: when you use your code, we record when it was used, the devices it was used on (a random device number and your browser type), and a scrambled, one-way fingerprint of your internet address to stop people guessing codes. We cannot turn that fingerprint back into your address, and we delete it within 24 hours.

Orders: when you order on this website, your name, phone number, email address if you give it, delivery address, any note you add, the scents you choose and the name you'd like on each bottle's label, together with the access code you used (so we know which member placed it) and the same one-way fingerprint of your internet address, used only to stop spam orders. When you order on WhatsApp or by email, the details you send us there.

Why we use it

To contact you about the house, its scents and tester releases; to choose testers and send them their packs; to learn from tester feedback; to keep the private site secure; and to process and deliver orders. We use your information for nothing else, and we never sell it.

Your consent

Joining the waitlist is voluntary. We only add you, and only contact you, if you tick the consent box. If you don't give us your details, we can't add you to the waitlist or send you a tester pack. You can withdraw your consent at any time by emailing us; this stops future use but doesn't affect what we did before.

Who else handles it

Only SILHOUETTE can see your details. Three service providers store and handle them for us under their data-protection terms: Supabase, which hosts our database on servers in London, United Kingdom; Netlify, which hosts this website; and Resend, which sends our emails to you (your name and email address only) from servers in Ireland. All three are outside South Africa. The United Kingdom and Ireland (under the EU's GDPR) have data-protection laws similar to POPIA, and all three providers are bound by agreements that protect your information. If we courier you a tester pack or order, the courier receives your name, phone number and delivery address.

How we protect it

Your information is sent over encrypted connections and stored in a database that only our account can read, behind a password-protected login.

How long we keep it

We keep your waitlist details while the waitlist and tester programme run. We delete them within 12 months after the house opens in 2027, unless you become a customer or ask to stay on the list. We keep order records for as long as the law requires us to keep business records (generally five years). If you ask us to remove you, we do so within 30 days, except for order records we must keep by law.

Cookies

We use only two cookies, and only once you enter an access code: one keeps you signed in, and one recognises your device so your code isn't used up. They are needed for the private site to work. If you add scents to an order, your browser also remembers which ones (not your name or address) on your own device until you place it. We use no advertising or tracking cookies.

Your rights

You may ask what information we hold about you, and ask us to correct or delete it. You may object to us using it, and unsubscribe from our messages at any time. Email silhouette.sa80@gmail.com and we will reply within 30 days.

Complaints

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Regulator of South Africa: inforegulator.org.za, POPIAComplaints@inforegulator.org.za.

Age

The waitlist and tester programme are for people aged 18 and over.

Changes

If we change this notice, we'll update the date at the top. If a change affects how we use your information, we'll tell you first.
